Administration Assistance/Contract Manager
Job Description
We are seeking a dependable, organized, and detail-oriented Construction Administrative Assistant to support our construction team with daily office operations, project documentation, scheduling, and communication. This role is ideal for someone who enjoys a fast-paced environment, can manage multiple priorities, and takes pride in keeping projects and paperwork running smoothly.
Responsibilities
· Answer phones, respond to emails, and assist clients, vendors, subcontractors, and team members professionally.
· Prepare, organize, and maintain project documents, contracts, permits, invoices, purchase orders, and job files.
· Assist with scheduling meetings, site visits, inspections, deliveries, and project deadlines.
· Track and route invoices, change orders, lien waivers, insurance certificates, and other required paperwork.
· Support project managers and field staff with administrative tasks, data entry, filing, copying, scanning, and document control.
· Maintain accurate records and help ensure project information is current and easy to access.
· Order office supplies and assist with general office coordination as needed.
Qualifications
· Previous administrative or office experience required; construction office experience preferred.
· Strong organizational skills and attention to detail.
· Excellent written and verbal communication skills.
· Ability to multitask, prioritize work, and meet deadlines.
· Proficiency with Microsoft Office, especially Word, Excel, and Outlook.
· Experience with construction software and or project management systems is a plus.
· Positive attitude, dependable work ethic, and willingness to support the team wherever needed.

Work Environment
